What Data Do We Collect?
OEX may collect the following categories of data:
- Personal identification and profile information, including your name, email address, company, job title, profile image, telephone number and other personal information that you choose to provide to us.
- Online and technical data, including your IP address, approximate location, browser, device information, operating system, page views, time spent on pages and other website or application usage information.
- Event participation and Platform activity data, including meeting requests, in-app messages, bookmarks or favorites, interactive floorplan usage, session registrations, log-in activity, searches, messaging activity and other usage metrics generated when using Sourcehere, our event directories or our applications.
- Company and professional information provided by you, your employer, an exhibitor, event organizer or another authorized party.
How Do We Collect Your Data?
You provide OEX with most of the data we collect. We collect and process data when you:
- Register for an account or place an order for any of our products or services.
- Create or update a personal or company profile.
- Upload company, product or other information to the Platform.
- Send or receive messages or otherwise interact with other Users through the Platform.
- Register for or participate in an event using one of our digital directories, websites or applications.
- Voluntarily complete a survey or provide feedback through forms, message boards, email or other communication channels.
- Use or view our websites and applications through cookies and similar technologies.
- Contact us for support, questions or comments, in which case we may collect your name, email address, telephone number, company information and information relating to your request.
OEX may also receive your data indirectly from:
- Partners.
- Companies and exhibitors.
- Event organizers, who may provide us with exhibitor, attendee or participant information, such as name, company, job title and contact details, so that we can establish event directories, exhibitor profiles or participant accounts.
- Other authorized users of an organization who add or invite you to participate in a company or event account.
How Will We Use Your Data?
OEX collects and processes your data so that we can:
- Process orders and manage accounts.
- Create and maintain personal, company and exhibitor profiles.
- Provide access to Sourcehere, event platforms, digital directories, mobile applications, messaging, networking and other Platform functionality.
- Facilitate communication and professional networking between Users.
- Provide search, discovery and other Platform functionality.
- Send service-related and operational communications.
- Detect, investigate and prevent spam, abuse, inappropriate content, fraud, security threats and other violations of our Terms and Conditions, including through automated and human moderation.
- Improve, maintain and develop our services.
- Protect the security, integrity and appropriate use of our Platform.
- With your consent where required, send marketing communications about our products and services or those of our partner companies.
- Comply with applicable legal and regulatory obligations.
We may also use appropriate third-party providers for fraud prevention and payment-related purposes.
We use third-party service providers for marketing, hosting, analytics, payments, communications and operational purposes, including Brevo/Sendinblue, Matomo, Salesforce, Amazon Web Services (AWS), Microsoft, Stripe, Visioglobe and Google.
Lawful Bases for Processing
Where the General Data Protection Regulation (“GDPR”) or equivalent data protection legislation applies, our lawful bases for processing may include:
- Contractual necessity (Article 6(1)(b) GDPR): for example, account creation, providing Platform functionality and event access.
- Consent (Article 6(1)(a) GDPR): for example, certain marketing communications and non-essential cookies where consent is required.
- Legitimate interests (Article 6(1)(f) GDPR): for example, Platform security, preventing spam and abuse, analytics, moderation, fraud prevention, product development and improving our services.
- Legal obligation (Article 6(1)(c) GDPR): for example, tax, accounting and other regulatory requirements.
Messaging, Moderation and Platform Safety
OEX uses moderation measures to help prevent spam, abuse, inappropriate or indecent content, fraud, security threats and other misuse of the Platform's messaging and chat features, and to enforce our Terms and Conditions.
Moderation may involve automated systems and internal algorithms that analyze message content and related activity or behavioral signals, such as message frequency, volume, repetitive or duplicate messaging, User reports, account activity and other indicators of potential misuse.
OEX does not routinely have personnel read or monitor private messages between Users. However, where a message or account is flagged by our systems, reported by another User, or where OEX otherwise reasonably suspects misuse of the Platform, relevant messages and account activity may be reviewed by specifically authorized OEX personnel for the purpose of investigating the matter, protecting Users, maintaining Platform security or enforcing our Terms and Conditions. Access to private message content is restricted to authorized personnel.
Where OEX identifies a violation of its Terms and Conditions, appropriate action may be taken against the individual User, including issuing a warning, limiting messaging activity, restricting or disabling messaging functionality, temporarily suspending the User's account, or permanently removing the individual User from the Platform.
OEX processes this information where necessary for its legitimate interests in preventing abuse, protecting Users, maintaining the security and integrity of the Platform and enforcing its Terms and Conditions, subject to applicable data protection laws.
Sharing with Event Organizers
When you register for or participate in a trade show or other event using a digital directory, website, mobile application or event platform provided by OEX, your personal data may be shared with the organizer of that specific event.
This may include information such as your name, email address, job title, company name and relevant event engagement data, including meeting requests, bookmarks, floorplan navigation, in-app messaging activity and usage analytics.
Each event organizer may act as an independent data controller for personal data shared with it in connection with its event. The organizer's subsequent use of that data is governed by its own privacy policy and applicable data protection laws. We recommend reviewing the applicable event organizer's privacy policy to understand how it processes your data.
Your OEX profile forms part of a single global account that may be accessed across Sourcehere.com, our event subdomains and our applications. However, personal data and event activity associated with a specific event are only shared with the organizer of that event. OEX does not share your personal data between unrelated event organizers solely because they use OEX technology.
Where an event organizer is located outside the EU/EEA, personal data may be transferred internationally. Where required by applicable law, we use appropriate safeguards or recognized transfer mechanisms.
Company Accounts and User-Generated Content
Certain features of the Platform allow companies and exhibitors to create organizational accounts, upload information and manage profiles for their staff members.
In these circumstances:
- The company or exhibitor is responsible for ensuring that personal data it provides to OEX, including staff contact details, has been lawfully collected and shared.
- The company or exhibitor is responsible for the accuracy and legality of the content it uploads, including company descriptions, product information, images and other materials.
- Company administrators may add or invite additional Users from their organization. By doing so, the company confirms that it has the necessary authority to provide those Users' personal data to OEX.
- Depending on the relevant service and circumstances, OEX may process such information on behalf of the company, exhibitor or event organizer and/or for OEX's own legitimate purposes in operating, securing and administering the Platform.
How Do We Store Your Data?
OEX securely stores Platform data using the servers and cloud infrastructure of Amazon Web Services (AWS) in Ireland (eu-west-1).
Application and database servers operate within Amazon VPC (Virtual Private Cloud). Access to databases containing User and usage data is restricted through our application infrastructure and appropriate access controls.
Personal data you provide to us may form part of a single account that can be accessed across Sourcehere.com, our event subdomains and our white-label mobile applications.
We retain personal data for as long as reasonably necessary to provide our services, maintain your account and fulfill the purposes described in this Privacy Policy.
You may request deletion of your account and personal data, subject to applicable legal requirements and any information OEX is entitled or required to retain. Certain information may be retained for a limited period where necessary for legal, regulatory, security, fraud-prevention, dispute-resolution or legitimate business purposes.
Marketing
OEX may send you information about products and services we believe may be relevant to you, as well as, where appropriate and permitted by applicable law, information relating to our partner companies.

Our services are intended for individuals aged 18 and older. We do not knowingly collect personal data directly from individuals under the age of 18 through standard Sourcehere registration.
Where OEX technology is used for an event involving younger audiences, additional privacy requirements may apply. The applicable event organizer is responsible for informing OEX of such requirements and ensuring that its collection and provision of participant data complies with applicable child and minor data protection laws.

- Salesforce for customer relationship management.

OEX is headquartered in the United States, while our primary Platform infrastructure is hosted through AWS in Ireland.

Where applicable data protection law requires safeguards for an international transfer, OEX uses appropriate transfer mechanisms, which may include European Commission Standard Contractual Clauses, adequacy decisions or other legally recognized transfer mechanisms, as appropriate to the particular transfer.
Where an event organizer is located outside the EU/EEA, information relating to participation in that organizer's event may be transferred to that organizer subject to applicable data protection requirements.
